Job Description

  • Act as one of the office management PIC and contribute to employee friendly workspace creation.
  • Responsible for administrative functions which include:
    • Integrated Facility Management (IFM): oversee operational management in facilities, Handle supplier evaluation and improvement;
    • Office Management: Manage needed office supplies and other consumables with ongoing optimization via IT implementation
    • Vehicle management: Manage and improve monthly vehicle usage, monitor the management via monthly reports;
    • Payment Processing: Ensure timely closing of admin payments and other payables under the department; Negotiate terms with suppliers to ensure the most cost-effective orders
  • Work closely with managers to ensure business needs are addressed and optimization is on place.
  • Regulate overall office event management (i.e.: office painting and renovation, office event decoration, etc.)
  • Familiarize self with existing working processes/regulations in the company
  • Implement more efficient methods in line with the business requirements

 

Requirements

 

  •     Degree in Business Administration or relative field
  •     At least 3 years’ work experience in the related field
  •     Proficient in MS Office and “back-office” software (e.g., ERP)
  •     Knowledge of office management and familiarity with basic research methods and reporting techniques
  •     Excellent organizational and time-management skills
  •     Outstanding communication (English and Mandarin speaking skills) and negotiation abilities
